Are you the person who organizes the chaos and keeps the entire team on track? We are looking for a highly organized and strategic Summer Operations Support team member. This paid position is vital—you will serve as the operational backstop and process monitor, using your sharp eye for detail and strong independent judgment to complement the Summer Camp Manager’s strengths. Your work ensures the seamless administrative and logistical execution of every program, budget, and the full volunteer lifecycle. Duties & Responsibilities

Camp Operations and Data Management (Detail Focus & Process Monitoring)

  • Serve as the primary data owner: Manage, organize, and meticulously track all critical camper information (registration numbers, income records, medical details, photo permissions, and cabinmate requests) by coordinating directly with the Event Manager.
  • Draft, maintain, and circulate preliminary camp master schedules and staff responsibilities documentation, ensuring adherence to pre-set deadlines.
  • Collect and collate raw program effectiveness data for the Summer Camp evaluation reports, highlighting where we are on track, behind, or ahead.
  • Process and reconcile operational receipts, and maintain up-to-date expense and budget logs, providing the Manager with proactive budget alerts and warnings.
  • Ensure staff surveys are completed and submitted to the office admin for evaluation.
  • Assist the bookkeeper with the distribution and collection of employment forms and necessary payroll support information.

Staff and Program Support

  • Prepare and organize comprehensive staff onboarding and training materials.
  • Audit and monitor the status and completion of all mandatory staff and volunteer background checks, reporting compliance issues immediately.
  • Coordinate the logistics for communication, meetings, and team introductions for all staff and volunteers, ensuring all key players are informed and prepared.
  • Manage the execution of detailed volunteer scheduling and communication of final schedules, and verify scheduled roles are filled.

Strategic Administrative Service

  • Prepare and organize materials for staff appreciation and formal volunteer recognition efforts.
  • Maintain the organized filing system for all camp policies, procedures, and reports, ensuring documentation is readily available for all staff.
  • Provide constructive feedback to the Summer Camp Manager regarding operational risks, schedule adherence, and process efficiency.
  • Handle general strategic administrative duties as assigned by the Summer Camp Manager.
Qualifications
  • Exceptional independent judgment and proven ability to provide constructive feedback.
  • Proven track record of being highly organized, detail-oriented, and reliable.
  • Strong administrative and written communication skills.
  • Proficiency in computer use and data management (spreadsheets, scheduling software).
  • Demonstrated passion for service and ministry alignment with the camp’s culture, values, and mission.
  • Experience working in a support or administrative role is an asset.
Working Conditions

The Summer Operations Support will be on-site for all assigned programming. Room and board will be provided.

Training

The Summer Operations Support will receive 4 days of staff training. This training will include facility orientation, policy and procedure training, camper check-in and registration, team-building activities, and compensation review. We will also highlight workplace health and safety practices.
